Fundraiser Event Banners and Branding That Thanks Sponsors

Fundraiser event banners, backdrops, table covers and volunteer shirts for galas, walks and benefits, with a sponsor-tier plan so every sponsor gets seen.

Sponsors make most fundraisers possible, and they want to see their support recognized. Good fundraiser event banners and displays do two jobs at once: they make your event look polished, and they put sponsor logos where guests, cameras and social feeds will see them. Here’s how to plan branding for a gala, benefit dinner, walk or festival so every sponsor gets the visibility you promised.

Map your sponsor tiers before you design anything

The biggest branding mistake at fundraisers is designing banners first and fitting sponsors in later. Start with your sponsorship levels and decide where each tier appears.

Sponsor level Where their logo could appear
Presenting sponsor Step and repeat, entrance banner, stage banner, volunteer shirts
Top tier Step and repeat, stage or entrance banner, table covers
Middle tier Sponsor banner, event signage, program
Community supporters Shared “thank you” banner, program

Write these placements into your sponsor packet so expectations are clear. Then collect logos early, in high-quality files. Our guide to a print-ready logo file explains what to ask sponsors for, which saves last-minute scrambling.

The step and repeat: your sponsors’ best seat

A step and repeat backdrop is the logo wall behind guests in photos. At a gala, it’s often the most photographed spot of the night, which makes it the most valuable place for sponsor logos.

  • Alternate logos in a staggered pattern so each sponsor appears near every face.
  • Give the presenting sponsor more repeats or a larger tile if that’s what you sold.
  • Pick the width. Our backdrops are 7.5 ft tall and come 8 or 10 ft wide. 8 ft works for couples and small groups; 10 ft suits bigger group photos and a busy red-carpet line, and two side by side make a 20 ft press wall.
  • Fabric, not vinyl. The matte fabric doesn’t glare under camera flash.

Our step and repeat backdrop is shown on a free design proof, so you and your sponsors can check the layout before anything is printed. For sizing help, see the step and repeat size guide.

Fundraiser event banners for the entrance and stage

Banners tell guests where they are and who made the night happen.

  • Indoors at a gala or dinner: a fabric banner has rich color and a soft matte finish that looks premium under ballroom lights, and it folds small for storage between events.
  • Outdoors at a walk, run or festival: vinyl banners hold up to weather, and mesh banners are better on fences where wind would catch a solid banner.
  • A “thank you to our sponsors” banner: one shared banner near the entrance or stage recognizes every sponsor in one place.

To make banners last, keep your organization’s main banner free of dates and sponsor names so it works every year. Put the year and this year’s sponsors on a separate banner you replace annually.

Table covers for registration, auctions and sponsor tables

Bare folding tables make a nice event look unfinished. Custom table covers with your logo turn registration, check-in and silent auction tables into part of the brand.

  • 6 ft and 8 ft are the most common banquet table sizes; measure yours before ordering.
  • Fitted covers look neat and tailored. Loose throws drape to the floor and hide boxes and supplies underneath.
  • Runners lay a printed strip down the middle of a table that already has a cloth, an easy spot for one sponsor’s logo.

A covered table with a logo also makes a good “sponsored by” spot for a top-tier sponsor, such as the auction or the bar.

Outdoor fundraisers: walks, runs and festivals

Outdoor events need gear that handles sun and wind. A branded canopy marks registration and water stations, flags line the route or entrance, and a pair of tall feather flags with a banner between two canopy legs gives a walk or run a real start and finish.

In much of the South and Southwest, fall through spring is peak season for outdoor benefits. Plan shade for volunteers, keep water on hand, weight every canopy leg, and take canopies and flags down in high wind.

Volunteer shirts and thank-you gifts

Matching volunteer shirts and crewnecks make helpers easy to find and show off your cause in every photo. Many organizations add the presenting sponsor’s logo to the back. Tees work for most events; crewneck sweatshirts and quarter-zips suit cooler evenings and become something volunteers wear long after.

Small thank-you items like soft PVC keychains with your logo give donors and volunteers something to keep.

Fundraiser branding timeline

  • 10 weeks out: finalize sponsor tiers and placements; send your requests for backdrops, canopies and large displays
  • 8 weeks out: collect the last sponsor logos; pay for the backdrop and approve its final design (backdrops, canopies and large displays take about 1 to 2 weeks after you approve your final design and pay)
  • 4 weeks out: order banners and table covers (about 1 week) and shirts (about 1 to 2 weeks)
  • Event week: test-assemble displays, plan weights for outdoor gear, assign a setup crew
